License Management

What is a license?

This is a license to use someone else's computer program. Computer programs are copyrighted. The exact legal rules may vary from country to country. But in general, they dictate that the program may not be reproduced or made public.

The authorization to use a computer program is set forth in a contract, the license. And often contains restrictive conditions regarding the copying of the program. Or the number of users who may use the program simultaneously. Often a fee is demanded for the use by the person who owns the copyright.

Because software licenses are legally contracts, computer programs can be released simultaneously under multiple licenses. with free software, in addition to an unlimited right of use, the user also receives the program's source code and may modify and reissue it with virtually no restrictions.

ContinYou takes care of license management

In many cases, your organization owns several types of software, mostly also different license contracts. But how can you as an organization maintain a good overview to prevent the company from being non-compliant and being fined via the BSA (Business Software Alliance)?

To measure is to know! Every management process, including license management, starts with measuring what you have and what you actually use.

1. Inventory your licenses.

You can manually take inventory by searching each computer's hard drive and recording the information in a report. This can be done in a simple way by opening the Software section of the Control Panel on each computer. Meanwhile, various automated infills are also possible, for example, by rolling out a small piece of inventory software across all the computers in your organization.

2. Checking software and licenses.

You will now compare the software with the available licenses.

3. License Management Plan

Next, you need to establish proper policies and procedures for software use and license acquisition, or in other words, develop a license management plan.

The license management plan addresses:

The standardization of software titles so that all employees work with the same version.
The centralization of software procurement to keep this task manageable and organized.
Discarding the obsolete workstations/computers and software.
Creating a database for software inventory to keep track of software licenses.
